Database reactivation

A database reactivation service for the leads you already paid for.

Somewhere in your CRM is a file of people who enquired, got a quote, or bought once, and then went quiet. They cost you money to acquire and they are still sitting there. We work that file across SMS, WhatsApp, email and voice until the ones who are still interested are booked into your diary.

the dormant database problem

The most expensive list you own is the one nobody is working.

Almost every business we speak to has the same thing in the background. Thousands of old enquiries and past customers, each one acquired at real cost, none of them contacted in years. They were chased for a fortnight, they did not convert, and the team moved on to the leads that came in this week. Meanwhile the same business keeps paying to reach strangers who have never heard of it.

The reason is rarely laziness. Working a list of five thousand dormant contacts properly means writing to each segment differently, following up across more than one channel, and handling every reply — including the ones that arrive at nine in the evening. That is not a job a sales team can absorb alongside live enquiries, so the file sits untouched and quietly loses value each month.

A database reactivation service exists to do exactly that job. Not to replace your lead generation, and not to sell you a new source of leads, but to work the asset you already own before you spend again.

Where this works

You have volume sitting idle

A few thousand contacts or more who enquired, were quoted, or bought once. Below roughly a thousand records there is rarely enough to segment properly.

The decision takes time

Sales cycles measured in weeks or months. Property, finance, home improvements, trades and professional services all leave a long tail of people who meant to come back.

The data is exportable

A CRM, GoHighLevel, HubSpot, a Shopify customer list, or a spreadsheet somebody has kept by hand. If it exports, it can be worked. Messy is fine.

the four channels

How our database reactivation service works

Coverage is the point. Every record gets worked on whichever channels you actually hold details for, in the order most likely to get a reply from that particular contact.

💬
reaching the file

SMS

Where most of a dormant database can still be reached. We match every mobile number on your export, then release the list in waves so deliverability holds up instead of the whole file going out in one afternoon.

🟢
the long conversation

WhatsApp

For contacts who stopped opening email years ago but still read a message thread. The thread stays open, so a reply that arrives three weeks later lands in the same conversation rather than starting from cold.

📧
the rest of the record

Email

Covers the part of the database with no mobile on file — work addresses, landline-only records, enquiries taken before you collected mobiles. Sequenced against what each contact originally asked for.

🎙️
the shortlist

Voice

For the segment worth a conversation rather than a message. An AI voice agent works the shortlist the other three channels have already flagged as warm, and books straight into your calendar.

the campaign

What a lead reactivation campaign looks like

01

We audit the file before anything is sent

How many records are genuinely contactable, how many carry a mobile, how old the newest and oldest entries are, and which segments are large enough to deserve their own messaging. You get the honest read, including if the file is too thin to be worth running.

02

The list is split by why each segment went cold

A quote that was never returned is a different conversation from a customer who bought once and drifted away. Every lead reactivation campaign is built around those reasons, rather than one message pushed at the whole database.

03

Fourteen days, sequenced across the four channels

Days one to three re-open the conversation. Days four to nine qualify whoever replied. Days ten to fourteen push for the booking. Contacts who stay quiet roll to the next channel; anyone who asks to be left alone is removed on the first request, on every channel at once.

04

Booked appointments arrive with their history attached

Each one reaches your calendar carrying the original enquiry, what that person asked about the first time, and what they have said this time. Nobody on your team triages an inbox or chases a non-responder at any stage.

proof

What it has produced so far.

Across the campaigns we have run to date, more than 32,000 dormant leads have been revived, with 9 to 12 per cent converting into booked meetings. That range moves with the age of the file and the size of the offer, which is why we audit before quoting rather than after.

The detail matters more than the average. Each campaign we have written up covers the state of the list we were given, what we changed about the approach, and what came back — including a property cash-buying firm whose file had gone cold, two estate agencies, and an e-commerce retailer reactivating lapsed buyers.

Rather than take the numbers on trust, read the full lead reactivation case studies and judge the work on the detail. If you want the mechanics of the underlying system instead, that is set out on how it works, and the reasoning behind doing only this is on why OnCue.

common questions

Before you send us a list.

How old can the records be?

Older than most people expect. We have worked files untouched for three years. Age matters less than original intent — somebody who once asked about your service usually still has the problem that made them ask. Records from the last 6 to 24 months tend to respond best, but colder data still books meetings.

Is this different from an email blast to the same list?

Substantially. A blast is one message to everybody on one channel, judged on opens. A database reactivation service segments the file by why each group went quiet, writes to each group differently, moves across four channels as people fail to respond, and is judged on appointments booked. The list is the only thing the two approaches have in common.

What about GDPR and opt-outs?

These are your own past enquiries and customers, not bought data, which is the basis on which the campaign runs. Every message carries a way out, opt-outs are honoured on the first request across all four channels simultaneously, and suppressed contacts are never re-entered into a later campaign.

How long before anything happens?

Days rather than months. There is no software to install and no integration project to complete first — you export the file and we work from it. A campaign is typically live inside a week of receiving the list, and first bookings usually land in the same week it starts.

What do you need from my team?

The export, your calendar availability, and a short brief on what counts as a good appointment. After that the work is ours. No one on your side writes messages, answers replies, or books anything in.

Free. Instant. No Commitment.

What's sitting dormant in your database?
